Role Overview
Location: On-site in Budapest, HU
We're looking for an Operations Controller to become the logistical problem solver in our team — the person who makes sure that once something is flagged as needed, it actually shows up, on time, done right, without anyone having to think about it twice.
You'll sit at the intersection of procurement, logistics, vendor negotiation, asset management, and compliance documentation. You'll manage everything from custom-made mechanical components sourced from overseas manufacturers, through everyday office essentials, to the paperwork that keeps equipment, contracts, and safety records in order. You'll work closely with our CTO and engineering team — understanding enough of the technical side to hold your own in a conversation about specs, tolerances, or lead times, without needing to be the engineer yourself.
This role is not about a fixed daily routine. It's about being the person who can drop what they're doing, pick up a dropped thread, and run with it — calmly, quickly, and without losing track of everything else already in motion.
What You’ll Do
- React immediately to logistics issues flagged by the CTO or engineering leads — lost or damaged shipments, missing information — and drive them to resolution, proactively report status.
- Handle procurement across the full spectrum — from custom-made machinery to everyday office needs — keeping active orders on track by watching lead times and catching dependencies before they turn into problems.
- Be able to work from crude specifications — help us select products and services autonomously. This requires some level of understanding across our fields of operations.
- Manage the full lifecycle of company assets — procurement, invoice handling, incoming inspection, insurance registration, and timely replacement.
- Manage vendor and supplier relationships end-to-end — from researching contacts through quotation, invoicing, and delivery, including overseas manufacturers, visiting suppliers on-site and coordinating couriers and freight when needed.
What You Bring
Required
- 2+ years of experience in procurement, logistics, controlling, or another related operational role — ideally at a small or fast-moving company.
- A flexible, highly reactive working style — able to shift priorities immediately when something urgent comes up, without losing track of everything else.
- Comfortable negotiating with international suppliers and holding technical conversations with engineers and vendors, backed by a people-oriented, client-facing background.
- Professional fluency in English, and fluent Hungarian.
- Valid B2 driver's license.
- Strong administrative and documentation skills — comfortable owning structured record keeping across compliance, contracts, and assets.
- Comfortable using AI tools to speed up and improve operational processes.
Bonus Points
- Customs clearance experience.
- Background or education in engineering or a technical field.
- Experience with asset and insurance management.
- Experience maintaining legal or compliance documentation (e.g. NDAs), fire and workplace safety documentation, and coordinating with legal counsel.
- Experience tracking and managing invoices for incoming equipment or goods.
- Direct experience negotiating with manufacturers.
