Executive Assistant / Office Manager

Role Overview

Location: On-site in Budapest, HU

We’re looking for an exceptionally organized, proactive, and people-savvy Executive Assistant / Office Manager to support the CEO, leadership team, and the daily operations of our office. This is a hybrid role at the heart of Allonic: part assistant, part operations lead, part culture builder. You’ll handle high-value executive workflows — email triage, scheduling, communication, follow-ups, and coordination — while also ensuring our office runs smoothly, efficiently, and feels like a place where world-class engineers can do their best work.

You’ll be the connective tissue between teams, helping structure workflows, streamline operations, organize information, and support cross-functional collaboration. You will work closely with the Leadership and Team Leads to maintain operational discipline, onboard new team members, manage suppliers and logistics, and ensure the office is always set up for success — from meeting rooms to equipment requests to everyday atmosphere.

What You’ll Do

  • Provide high-level executive support to the CEO & leadership team: manage inboxes, calendars, priorities, follow-ups, and communication threads.
  • Coordinate meetings, travel, events, and leadership workflows with thoroughness and professionalism.
  • Serve as the main point of contact for internal and external stakeholders; manage communication with clarity and warmth.
  • Support onboarding/offboarding, team logistics, and day-to-day operational finances and HR needs across departments.
  • Own office operations: maintain supplies, coordinate with vendors, ensure equipment and spaces are always functional and welcoming.
  • Collaborate with the Team Leads on purchasing, inventory management, cost control, and basic administrative workflows.
  • Build and refine ops processes and organizational systems that keep the company running smoothly.
  • Help cultivate a positive, efficient, and warm working environment where people feel supported and productive.

What You Bring

Required

  • 2+ years of experience as an Executive Assistant, Office Manager, Operations Coordinator, or similar role.
  • Outstanding verbal and written communication skills — articulate, warm, and professional.
  • Ability to manage complex logistics, calendars, inboxes, and multi-party coordination with impeccable attention to detail.
  • High emotional intelligence and people skills; naturally caring, diplomatic and intuitive.
  • Proven organizational excellence and ability to build and implement operational systems.
  • Ability to handle sensitive information with discretion and maturity.
  • Comfortable working in fast-paced, dynamic environments; proactive and solution-oriented.
  • Observant and reliable — you love being three steps ahead.

Bonus Points

  • Experience supporting executives in tech or startup environments.
  • Experience organizing events, workshops, or external meetings.
  • Familiarity with modern productivity tools and automation.
  • Experience collaborating across finance, operations, and engineering teams.
